Privacy & Applicant Data

Plain English, because you're handing us your license number and your work history.

What we collect

Four things come off this website: driver applications, freight and contact inquiries, whatever you type into the chat button, and — only if you drive a load for us and switch it on yourself — your location while that load runs. Each one is spelled out below.

Driver application

Required by 49 CFR §391.21. Your name, contact details, date of birth, current and previous addresses for the past three years, CDL and medical card details, driving experience, accident and traffic conviction history for the past three years, and your employment history — three years of all employment and ten years of DOT safety-sensitive driving work.

Collected for our own hiring and safety judgment, not by federal mandate. Whether you are legally eligible to work in the United States; whether any license, permit or privilege of yours has ever been denied, suspended or revoked, and your explanation if it has; whether you have ever tested positive, refused a test or violated a DOT drug and alcohol regulation, and your explanation including return-to-duty status; whether you have any felony convictions; the equipment you have run; your endorsements and whether you hold a TWIC; how you heard about us; and anything you type in the notes box. If you apply as an owner-operator we also collect your truck year, make and VIN, whether you have your own trailer, and whether you hold your own MC authority.

We also keep the full legal name you type as your electronic signature, the three authorizations you check, and the time you signed — that record is what lets us run the checks further down this page.

Freight and contact inquiries

The shipper quote form and the contact form collect your name, your company, your email and phone, the load details you give us — lane, equipment, commodity, weight, pickup date, how often it runs — and whatever you write in the message box.

The chat button

The chat in the corner of the page is an automated assistant. What you type is stored with the rest of that conversation so our staff can read it and follow up, and it is sent to our AI provider, Anthropic, to write the reply. Treat it like an email to us, not like a private note. It can look up the status of an application you filed yourself if you give it the email address and the last four digits of the phone number on that application, and it can take your name and number so a person calls you back. It cannot quote pay or rates.

With every submission

Whenever you send a form or a chat message we also record the IP address and browser it came from and the page you were on. That is how we stop automated spam and how we trace a submission if we have to.

What we deliberately do not collect

The public driver application does not ask for your Social Security number, your driver's license image, or your bank details. None of those are collected through the application form. There is no advertising tracker, no analytics account and no ad pixel anywhere on this site.

Documents you upload later

If we move forward with you, a recruiter sends you a private, single-purpose upload link for the documents your driver qualification file requires — typically your CDL and your DOT medical card. That link is unique to you, expires, and can be switched off at any time. Files are stored in private encrypted storage that is not reachable from the public internet; only our recruiting and safety staff can open them, through an authenticated internal tool. We do not put those images in email. If you are not hired, you can ask us to delete them and we will, except where a federal recordkeeping rule requires us to retain them.

What we do with it

Applicant information is used to evaluate you for a driving position and to build the DOT driver qualification file federal law requires us to keep. With the authorizations you sign on the application, we use it to obtain your motor vehicle record, your FMCSA Pre-Employment Screening Program (PSP) report, your Drug & Alcohol Clearinghouse record and a background check, and to contact your previous employers for safety performance history under §391.23.

Who sees it

Our recruiting and safety staff, and the service providers who run those checks on our behalf. Behind them are the companies that carry or store it for us: Cloudflare hosts this site, its database and the private file storage; new-submission alerts go to our staff by email and into a private staff group on Telegram, and a driver application alert includes a PDF copy of the application; a short alert with a new applicant's name and phone number may also go to a staff phone by text message. Chat conversations are additionally processed by Anthropic to generate the assistant's replies. We do not sell applicant information and we do not share it for marketing.

How long we keep it

Driver qualification records are retained for the periods required by 49 CFR Part 391 — generally three years for investigation and inquiry records, and for the duration of employment plus three years for the qualification file. Applications from candidates we do not hire are retained for the period required by applicable recordkeeping rules and then disposed of. Freight inquiries and chat conversations stay in our system so we can pick up where we left off; ask us and we will delete a conversation.

Your choices

You can ask us what we have on file for you, ask for corrections, or ask us to delete an application we have not acted on. Email dispatch@silkroaddisp.com or call (980) 447-5747. Records we are federally required to keep, we have to keep.

Location sharing while you run a load

If you drive for us, dispatch may send you a private tracking link for a specific load. Location is shared only while you have that page open and have tapped “Start sharing”, and only from that page — there is no app and nothing runs in the background. While it is on, the page sends your position, your speed, your direction of travel and how accurate the GPS fix is to us about once every 20 seconds, together with any status you tap and any note you type.

When you tap a status, dispatch gets an alert in our staff group with that status, your note and a map link to your last reported position. We show that position, the recent trail, your first name, and your status notes to the broker or customer on that load through their own link. Your phone number, email, address and application are never on the broker's page. Sharing stops when you tap Stop, when you tap Delivered, when the link expires, when you close the page, and automatically after 14 hours. Position history for a load is kept with the load record and is not used to track you outside of it. You can decline: tell dispatch and give check calls by phone instead.

Texts and calls

When you submit an application you're asking us to contact you — we may call or text the number you gave us about your application. Reply STOP to any text and we'll stop texting.

This website

The site stores your in-progress application in your own browser so you can finish it later; clearing your browser data erases it. The chat and the tracking page also keep a short code in your browser so they remember your conversation and whether sharing was switched on. None of that leaves your device on its own.

Every page loads its typefaces from Google Fonts, so Google sees your IP address and browser when a page loads. The broker tracking page additionally loads its map code from Cloudflare's public CDN and its map tiles from OpenStreetMap, which see the same thing plus the piece of the map being drawn. We do not run advertising trackers or analytics on this site.
